OS Hub is entering an exciting stage of development, we are expanding the Operations team to include an Accounting Manager to support the organization’s growth. Our ideal candidate has a successful track record managing the accounting function and operations for a US-based 501(c)(3) nonprofit organization. The candidate should be able to demonstrate a deep understanding of accounting principles, possess an exceptional analytical skill set, and exhibit a keen eye for detail. Job Description
Reporting to the CFO/COO, the Accounting Manager is responsible for the day-to-day accounting of the organization’s financial transactions, as well as developing, implementing and ensuring compliance with financial policies and procedures consistent with generally accepted accounting principles (GAAP). The Accounting Manager is responsible for maintaining and continuously improving systems for financial controls and efficiency, including fund accounting, financial reporting, fiscal grant management, tax compliance, banking, payroll and benefits. This role will work in partnership with the Operations Manager and the Business Development Director.
The Accounting Manager will work closely with all teams across the organization to:
Provide accounting and financial leadership - oversee accounts and lead on all aspects of the monthly financial close process, ensuring accuracy and timeliness in reporting to support effective program implementation
Contribute to the successful implementation of accounting and reporting systems across a global organization - streamline financial and operational processes in partnership with the Operations Manager to enhance and better integrate Finance, HR, IT and Contracting functions
Ensure OS Hub is meeting statutory and regulatory requirements - lead OS Hub’s annual audit, funder audits and filing of the IRS Form 990, with flawless results
Own the funder financial reporting cycle - manage deadlines, tracking and reporting requirements from the proposal process to report submission
The position is remote, but we ask that the employee be located in the United States. This is a full-time, salaried position.
Responsibilities
Accounting and Financial Leadership
Lead and manage the financial close process (monthly, quarterly and year-end), and maintain accurate and up-to-date financial records for all transactions, receipts, disbursements, journal entries, accruals and completion of account reconciliations in compliance with GAAP
Prepare financial reports and analysis on a monthly basis providing comprehensive insights into the organization’s financial operations for internal and external stakeholders, including but not limited to the leadership team, funders and Board of Directors
Responsible for shared cost allocation (payroll, benefits and admin) across programs and cost centers in comparison with annual budget and relevant grant budgets
Collaborate with Operations Manager and team leads on a monthly basis to review and reconcile budget to actual activity, addressing variances and creating opportunities for efficiencies
Accounting Systems Management
Lead and manage the organization's internal financial systems, ensuring their efficiency, accuracy and compliance with accounting standards
Manage fiscal cross-functional business processes including payroll processing (JustWorks and Boundless), customer invoicing (Bill.com), vendor payments (Bill.com) and employee expense reimbursements (Nexonia)
Oversee the global credit card program (Divvy), including monitoring budgets and transactions, reconciling expenses and enforcing policy adherence in partnership with Operations Manager
Generate detailed custom reports in Quickbooks, Google Sheets and Monday.com for team leads, offering valuable financial awareness and training to support informed decision-making across the organization
Maintain an intuitive and organized system for record keeping and document retention to efficiently maintain the organization’s records and respond to internal and external information requests
Compliance & Taxes
Organize and oversee the organization's annual audit, ensuring a smooth process, addressing any queries or issues that may arise and ultimately achieving a successful and clean audit outcome
Manage the preparation and timely filing of the annual IRS Tax Form 990, ensuring accuracy and completeness of financial information presented
Facilitate the timely dissemination of 1099 forms to relevant parties
Grant Management
Serve as the main contact for grant-based audits requested by funders and regulatory bodies; work closely with relevant stakeholders to gather financial data and supporting documents as required
Lead and coordinate all financial aspects of grant management for the organization, ensuring adherence to funder requirements, timelines and deliverables
Prepare and submit timely and accurate financial reports to funders, providing a comprehensive overview of grant expenditures and progress; maintain clear and organized records to support financial reporting requirements for grant-funded programs
Provide financial analysis and updates to program managers and the leadership team, ensuring effective communication and decision-making as related to grant-funded initiatives
The ideal candidate
We are seeking a detail-oriented, results-driven Accounting Manager with a proven track record of financial leadership within the nonprofit sector. The ideal candidate will be a Certified Public Accountant (CPA) and possess 4-6 years of experience in accounting. Your prior experience will demonstrate a strong foundation in accounting principles and a deep understanding of financial reporting requirements specific to the nonprofit sector. Your dedication to financial transparency, compliance and accountability will contribute significantly to the organization's success as we continue to advance our mission.
You have a sound understanding of nonprofit accounting policies and procedures, and the ability to implement and maintain internal controls
You are passionate for the mission-driven work of OS Hub and are driven by our commitment for financial transparency, accountability and ethical practices
You have strong analytical and creative problem-solving skills, with an eye for accuracy in financial data analysis
You have excellent leadership and communication abilities, with a track record of collaborating effectively with cross-functional teams and presenting financial insights to leadership teams
You have exceptional organizational and project management skills and experience, with an independent self-starter attitude
You have an eye for efficiency and interoperability in business processes and the ability to identify and recommend adaptations where you can see better ways of doing business

Must have
Bachelor's Degree in Accounting, Business Administration or other related education
Certified Public Accountant or Master of Accountancy
4-6 years of progressive experience in accounting and financial management
Comprehensive knowledge of nonprofit accounting principles, regulations, reporting requirements and the ability to implement and maintain effective internal controls
Proficiency in managing internal accounting systems and processes, including managing the monthly close process, building comprehensive financial reports and preparing accurate financial statements
Experience in managing an organization's annual audit and IRS Tax Form 990 process
Experience managing grants and fulfilling funder reporting guidelines and audit requirements
Excellent written and spoken English; strong communicator and presenter with both internal and external stakeholders
Nice to have
Experience working within a 501(c)(3) nonprofit organization or supporting one
Experience working with organizations with an annual budget of $5-$10 million
Proficiency in the use of Quickbooks Online and other cloud-based platforms
Ability to demonstrate experience with small, scaling teams, thriving in dynamic remote environments
Proficient in handling financial complexities of global organizations
Compensation
The budgeted salary for this full-time opportunity is $80,000 - $90,000 USD. Salary within this range will be commensurate with the candidate’s experience and location.

Assessment: An accounting assessment will be provided after the first interview to be completed and shared just prior to the second interview
2nd Interview: This is a 60 minute interview with OS Hub's CFO/COO & Product Manager focusing on the assessment and technical requirements of the position.
Final Interview: This is a final 30 minute interview with OS Hub’s Executive Director - an opportunity to ask and answer any final questions about the opportunity and/or organization culture.
